Important Information For Parents
Skybrook Storm is a summer rec league and we are unable to field a team without parent volunteers. In addition to key role volunteers that work year-round, there are seasonal and meet volunteers that ensure the success of our program. For the 2026 season, all families are required to volunteer at a minimum of four meets or events. Volunteers who hold year-round or seasonal key role positions are exempt from this requirement. All positions are described below.
Year-Round Key Role Positions
- Director(s): These volunteers run the team. They create registration, hire coaches, maintain insurance and tax information, order equipment, work with the Triad Swim League to create the schedule and run swim meets, communicate with the pool owner to schedule lifeguards, meets, and events, communicate with parents and teams in the Triad about events and swimmer concerns, help maintain the team's website and social media, assist the swimsuit coordinator to order suits, order team supplies, and manage coaches and key role volunteers. These parent volunteers must be tech-savvy and proficient in communication.
- Treasurer: This volunteer handles the team budget. This parent writes checks and gives tax advice, and should be financially savvy.
- Sponsor Coordinator: This parent volunteer actively seeks out sponsors, communicates with them on behalf of the team, and ensures that the team follows through on what has been promised.
Seasonal Key Role Positions
- Food Truck Organizer: This parent volunteer contacts and secures food trucks for each home meet and negotiates a percentage back for the team. They are the food truck liaison during the meet, and collect donations from the trucks at the end of the meet.
- Meet Announcer and Starter: This parent volunteer runs the meets. They communicate with swimmers, timers, and scorekeepers, they start each event, and they use Swimmingly to keep the meet on schedule.
- Merchandise Coordinator: This parent volunteer orders all of the merchandise sold on SwimTopia and organizes it for distribution.
- Photographer and Social Media Coordinator: This parent volunteer takes pictures at meets and all swim team events. They also run the team's social media accounts.
- Scorekeeper: These parent volunteers work with the Meet Announcer and Starter to score the meet on Swimmingly. They handle disqualifications, false starts, and all other scoring that happens at each meet. These volunteers must be tech-savvy.
- Signage Set-Up: This parent volunteer is responsible for setting up all of the sponsor signage before each home meet. The signage is part of a contract with the sponsors and must be set up correctly each meet to ensure the team fulfills our obligation.
- Graphics and Design Coordinator: This parent volunteer designs all of the team's signage and helps ensure that we are fulfilling our sponsorship obligations.
- Storm Store Managers: These parent volunteers run the Storm Store at each Friday practice. They shop for, price, and store all items that are sold at the Storm Store.
- Swimsuit Coordinator: This parent volunteer selects the suit for the season, organizes and runs the suit fitting event, orders and distributes the team suits.
- Volunteer Coordinator: This parent volunteer communicates with and organizes all meet volunteers. They arrive at every meet early to help set up, maintain records of who has/hasn't volunteered, and train volunteers as needed.
- Raffle Coordinator: This parent volunteer organizes raffles for the team during meets and throughout the season.
- Event Coordinator: This parent volunteer plans, organizes, and carries out the Season Kick-off Event and the End of Season Banquet.
- Buyer: This parent volunteer purchases candy and snacks for the concession stand to ensure adequate inventory for all home meets.
- Spark Coordinator: This parent volunteer serves as the coordinator for our Skybrook Spark program throughout the season.
Meet Volunteers
- Bullpen (6 per meet): These volunteers manage and organize swimmers at the meet and get them in the correct order and walk them to the clerk of course before they swim.
- Clerk of Course (2 per meet): These volunteers get swimmers from both teams seated on benches for the correct heat/lanes.
- Concessions (2 per meet): These volunteers run the concession stand during the meet. They will be selling candy, chips, water, gatorade, and soda.
- Finish Judge (1 per meet): This volunteer sits near the finish line and records the finish order of each heat/event.
- Flex/Fill-in (2 per meet at Jr. and Sr. Champs): These volunteers are willing to do any of the meet positions or act as an assistant to any volunteer.
- Heat Winner (1 per meet): This volunteer is located at the finish line and gives heat winner ribbons to all heat winners ages 10 and under.
- Pool Deck Set-Up (4 per meet): These volunteers arrive at the pool early and stack lounge chairs, set up tables, tents, benches, etc. to get the pool deck ready for the meet.
- Pool Deck Clean-Up (4 per meet): These volunteers stay after the meet to reset lounge chairs, put away tables, tents, benches, etc. to prepare the pool for reopening the following morning.
- Relief Timer (1 per meet): This volunteer checks in with the other timers and gives them breaks during the meet.
- Ribbon Writer (1 per meet): This volunteer puts labels on the correct ribbons after the meet and sorts them into the correct files for swimmers to pick up at practice. This position can be done at home for all meets except Champs.
- Stroke Judge (1 per meet): This volunteer must be a certified stroke judge (certification is by https://strokeandturn.com/ after completing a short online training). This volunteer uses the Swimmingly app on iPhone to disqualify swimmers who gain an advantage by using an illegal stroke. A list of illegal moves is provided. This position counts as volunteering for 1.5 meets (so if you are a stroke judge for 2 meets you actually fulfill your obligation for 3 meets).
- Timers (6-8 per meet): These volunteers use the Swimmingly app on their phones to time swimmers.
PARENTS: It is imperative that you understand the volunteer requirements. During registration, your family will be required to select volunteer jobs at four meets or events. If a situation arises that prohibits you from fulfilling your duty or you choose to not to volunteer at a meet(s), it is your responsibility to secure a replacement. You can hire your own replacement or use the Skybrook Storm Parents Facebook Group to solicit help. You are also required to email our volunteer coordinator, Michele Teague, to let her know you have switched/replaced your volunteer obligation.
Volunteers must be at least 16 years old. If you aren't able to fulfill your volunteer obligations and/or cannot secure a replacement, you will be fined $75 to cover the cost of hiring an individual to perform your duties. If you don't pay the fine, then your swimmer(s) will not be allowed to compete at any upcoming meet until your financial obligation is met. Thank you for your cooperation.
